Alumni and Community Engagement Officer (ACE)

Overview

UWC ISAK Japan is Japan’s first fully residential international high school, established in 2014 with the aim of developing leaders who will make a positive impact on the world. In 2017, it became a United World College, of which there are now 18 around the world.

Our students come from 80 different countries, and we provide scholarships to 70% of them to create an environment that is uniquely diverse, in many different ways. UWC ISAK Japan is always filled with the energy of faculty, staff, students, and parents who resonate with the school’s mission. Each member working here actively contributes to the development of the school by leveraging their own strengths and special qualities.

As UWC ISAK Japan continues to mature, so do its needs. The need to foster productive relationships with UWC ISAK Japan alumni and their respective networks, as well as the broad network of our extended community, has never been more vital. Under the supervision of the Head of External Relations and the Director of Marketing and Communications, the ACE will support the school’s external relations needs whilst progressively expanding UWC ISAK Japan’s alumni and other outreach functions. This is an exciting job which will grow and change as the nature of our community grows and changes. It has tremendous and stimulating potential for the right person.

 

Roles and Responsibilities

Alumni Engagement

  • Lead discussions on the future direction of the UWC ISAK Japan alumni community in coordination with alumni, current students, staff, faculty, board, and council members.
  • Serve as a liaison between alumni and the current school community.
  • Organize school-led alumni events for milestone anniversaries.
  • Support the Alumni Association in their efforts to recruit, communicate, and organize events.
  • Create opportunities for the community to engage with alumni and inform alumni about school news and ways to stay involved.
  • Manage the UWC ISAK Japan Alumni network group on LinkedIn, including accepting/rejecting requests, publishing alumni and school news, and staying updated on alumni paths after graduation.
  • Regularly update alumni information in the school database to ensure accurate contact details and alumni data.
  • Facilitate, support, and participate in Alumni Association meetings.
  • Support current students, staff, and faculty in building relationships with alumni.
  • Capture news, images, stories, and videos from alumni.

Community Engagement (Marketing and Communications)

  • Manage the school’s social media presence across platforms including Instagram, LinkedIn, Facebook, YouTube, and TikTok. Create an annual social media strategy and content schedule, respond to inquiries, and moderate interactions.
  • Assist with the creation of monthly newsletters for students, staff, faculty, parents, and alumni. Manage targeted campaigns for various programs and maintain accurate mailing lists.
  • Identify and share community stories on the school’s blog, writing monthly posts that align with the school’s mission and highlight student achievements.
  • Assist in the development of the Annual Report and updates and the possible redevelopment of the school website.
  • Update and respond to community requests for website content, working closely with relevant teams to ensure timely and relevant updates.
  • Ensure compliance with privacy and consent policies, tracking students’ and community members’ media and data sharing preferences.
  • Maintain accurate database records for marketing communications, including mailing lists, campaign tracking, and consent management.
  • Capture photos and videos of campus events in collaboration with students, staff, and faculty.

Development and Fundraising

  • Gain a deep understanding of parent and alumni members of the school’s donor base and engage in activities that strengthen relationships with them.
  • Foster strong relationships with current and past parents to maintain engagement with the school community, facilitating fundraising opportunities where applicable.
  • Actively participate in alumni-related fundraising activities, supporting new initiatives and campaigns led by the Development Team.
  • Collaborate with the Development Team to gather compelling student and alumni stories to share with potential donors.
  • Maintain and update alumni and community data in the school’s database, ensuring all information is accurate and current to support relationship-building and fundraising efforts.
  • Become familiar with the scholarship students who are part of the student/donor matching program and other programs set up by UWC International Office to support scholarship reporting requirements.

 

Skills/Qualifications

  • Bachelor’s degree.
  • Proven experience in community engagement and management.
  • Excellent communication skills, both written and verbal.
  • Experience with digital marketing and communications.
  • Business-level fluency in English.
  • Ability to use various digital tools for communication with alumni globally.
  • Willingness to work occasional weekends and evenings.

 

Prefered Qualifications

  • Experience in alumni engagement programs and/or working with teenagers and young adults.
  • Proven experience in event planning and coordination.
  • A valid driving license (due to the remote location of the campus).

Safeguarding

All employees must adhere to and ensure compliance with the School’s Safeguarding and Child Protection Policy at all times. If, in the course of carrying out their duties, a teacher becomes aware of any actual or potential risks to the safety or welfare of children in the School, they must report those concerns to the DSL (Designated Safeguarding Lead) or DDSL (Deputy Designated safeguarding Lead) immediately.

 

Other Duties

Other duties may be assigned from time to time by the Head of External Relations, Head of School, or the Chair of the Board.
