Athletics Director

Job Summary:  

The Athletic Director at OYIS (whole school) plays a vital role in nurturing the physical and social emotional development of students from kindergarten through grade 12. Supporting the PE department, this individual is committed to fostering a positive and active learning environment that aligns with the international baccalaureate philosophy. Key responsibilities include: strategizing long-term competitive sports programs, engaging with local, regional, and national league representation/planning; ensuring all activities are designed to enhance teamwork, sportsmanship, and supporting the PE curriculum as needed. As the Athletic Director is instrumental in promoting a culture of excellence, facilitating external and inter-school competitions, and laying the foundation for students to excel not only in sports but in life.

Requirements:

  • Bachelor’s degree in Education or a relevant field.
  • Teaching certification or license (if applicable).
  • Familiarity with the IB MYP / DP  framework is preferred.
  • Strong background in recruitment for coaches for sustainable programming
  • Conflict management and resolution skills
  • Flexible schedule regarding weekends and evenings

Desired:

  • Strong knowledge of League affiliation for the Kansai region

Major Responsibilities

Logistics & Budgeting:

  • Scheduling and Coordination: Oversee practice, games, home/away tournaments; manage facilities, referees, transportation, and the Athletics Calendar.
  • Equipment and Apparel Management: Organize team photos, jerseys, and distribute/collect gear; manage sales/distribution of practice shirts.
  • Budgeting and Feedback: manage the athletic program budget, ensuring efficient allocation of resources for equipment, uniforms, transportation, and facilities. Working closely with the school office and financial director.


Program Development & Management:

  • Recruit and organize coaches and student assistants; use platforms like Seesaw, Schoolsbuddy, e-mail.
  • Develop, implement, and evaluate the athletic program that aligns with the school’s mission, values, and educational goals
  • Make an active contribution to the policies and aspirations of the school
  • Ensure understanding of safeguarding, child protection.
  • Contribute to, further development, and ensure  risk assessment practices are followed within all coaching roles and responsibilities.
  • Participate actively in the Staff Appraisal Growth and Evolution (SAGE) process.
  • Ensure the administration of school procedures are completed efficiently
  • Plan and engage in professional learning activities that support the school and systematic priorities
  • Collaborate with members of the school community to build a team environment that supports student learning

Community Engagement:

  • Availability during weekends needed to support the seamless execution of athletic events through leadership, logistical coordination, and representation at sporting events for the school community.
  • Collaborate with WJAA Athletic Directors to ensure effective communication, efficient event organization, and represent the school in annual regional planning meetings.
  • Liaise with parent representatives regarding sports initiatives, events, and related fundraisers.
  • Serve as the primary point of contact for communication between the school administration, parents, coaches, and student-athletes.
  • Event Planning and Leadership: Lead weekly games, awards ceremonies, meetings with OYIS Admin, and coordinate with IT/Advertising.
  • Demonstrate a willingness to work within and adapt to Japanese cultural norms, fostering mutual understanding and respect in a cross-cultural environment.
  • Contribute to the extra-curricular activities programme and participate in school activities such as assemblies, evening events, conferences

Additionally, the role may encompass other duties as deemed necessary by the Programme Principal, ensuring the continual alignment with the School’s goals and values as the Athletics programme further develops.
